Administrative & IT Intern – Internship Opportunity

 SUMMARY OF ROLE

IntraHealth seeks an Admin & IT Intern for the USAID Ingobyi Activity. The Ingobyi Activity supports the Ministry of Health (MOH) to contribute to the reduction of infant and maternal mortality and incidence of malaria in Rwanda, focusing on improving the availability, quality, and utilization of RMNCH and malaria services and improving the health of women, adolescents, and children under five. The Administrative & IT Intern will assist the Administration Team to deliver day-to-day administrative & IT support to the Ingobyi office and its employees. The duration of this internship is for three (3) months period with the possibility to be extended for another period of three (3) months depending on Intern’s performance and availability of funds.

The internship offers the Intern an opportunity to apply knowledge and skills learned from a training institution in a real-world setting.. Therefore, the Intern is not entitled to wages or a promise of employment at the completion of the internship period. The activities carried out during the internship must be in conformity with the IntraHealth International Rwanda Office’s mission and goals, as well as the mental and physical capabilities of the Intern.

ESSENTIAL FUNCTIONS

Administration support

  • Answer incoming calls and handle caller’s inquiries whenever possible.
  • Re-direct calls as appropriate and take adequate messages when required.
  • Receive and direct office visitors.
  • Support the administration team in the general filing system and file all correspondence.
  • Assist in the planning and preparation of meetings, training, and workshops.
  • Assist Administration Team to update the office directory regularly.
  • Provide backup administrative support to the field as directed by immediate supervisor.
  • Process travel approvals – scan and share them with concerned staff & departments.
  • Assist program/support staff in printing, photocopying and filing documents as appropriate.
  • Assist the store officer in-store set up and arrangement.
  • Assist the store officer in commodity deliveries, physical inventory, and site distribution.
  • Support the organization of store records and filing.

IT Support

User support & client systems

  • Assist IT officers to set up and management of desktops, laptops, printers, and phone handsets.
  • Assist IT officer in the provision of Level 1 user support (diagnosis and resolution of basic desktop/laptop, printer, peripheral and software faults).
  • Channel service requests and follow up as necessary.
  • Perform any other tasks as assigned by the supervisor.

 Qualifications and requirements:

  • Fresh graduates – graduated within the last two years.
  • Bachelor’s degree in Informatics & Management
  • A minimum of a second-class division.
  • Rwandan by nationality.
  • Good communication skills in English and/or French – knowledge of both languages is an asset.
  • Current enrollment in a medical insurance scheme.
