Job Description


An opportunity has arisen for an experienced Administrative Assistant to join the Rwandan High Commission in London Team.

ABOUT THE ORGANISATION:

The High Commission of the Republic of Rwanda to the UK has the responsibility of promoting bilateral relations and co-operation between the governments and the people of the Republic of Rwanda and the United Kingdom, as well as develop good business and investment ties. The High Commission is also accredited to Malta and to Ireland, as Embassy of Rwanda to Ireland.

ABOUT THE ROLE:
This is a full-time, permanent position.

The main responsibilities of the Admin Assistant will include:

•    Ensure that excellent customer service is provided to the clients. Provide clear information to the clients, help and guide them where necessary
•    Call handling, receiving applications and documents to the Consular office, sorting and distributing incoming mails
•    Responding on a timely basis to all queries that come through the official mission email address
•    Receiving guests to the High Commission
•    Manage the stock levels and procurement of office supplies
•    To undertake all duties related to postages, shipments
•    General support to the team that they may require from time to time
•    Carry out other ad hoc and assigned tasks including assisting in the planning of events, logistics support, assisting in communication activities where required

DESIRED SKILLS AND EXPERIENCE:
•    Excellent communications skills – both written and verbal
•    Fluent in English and Kinyarwanda. French is desirable but not essential
•    Previous administration experience in a busy office environment
•    Ability to multi-task and prioritise work
•    A good team player with a pro-active and enthusiastic attitude
•    Mature and confident approach to work and challenges – solution-oriented
•    Excellent proficiency in Microsoft Office packages, including Word, Excel and PowerPoint
•    Highly developed organisational skills, excellent attention to detail, and the ability to work independently to ensure projects are managed effectively
•    Bachelor’s degree or higher is desirable
