Africa Improved Foods (AIF),

 is a Public-Private Partnership focused on addressing malnutrition through the production of nutritious, high-quality fortified foods. It is a joint venture involving a number of international organizations: DSM – the largest nutrition company in the world; the World Bank (IFC); the UK Govt (CDC) the Dutch Govt (FMO). The Government of Rwanda, and the World Food Programme.

Our products are intended to address malnutrition among vulnerable population segments such as pregnant and breast-feeding mothers, older infants and young children especially in the first 1,000 days of their life. To this end, we have built a world-class food processing plant in Rwanda – to serve the East Africa region – and are now expanding into Ethiopia.

General Job information

Job title: Purchase to Pay Officer (PTP)

Business Group/Unit: Africa Improved Foods Rwanda Ltd

Reports to: IT & Business Support Manager

Direct reports: None

Indirect reports: 1

Purpose of the job

The job holder plays a key role in procedures related to the purchase to pay process, monitoring and capturing all raw materials transactions in SAP B1, collecting all needed information from related departments (Warehouse, Procurement, Finance, and Production) to contribute towards the achievement of production targets.

Key Responsibilities

The jobholder will be responsible for performing the following duties:

  • Daily capture in SAP B1 of all raw materials’ goods movements within AIF.
  • Align with requesting departments to collect all needed information on raw materials received in AIF.
  • Inspecting consignments supporting documents to verify if they are in order and as per agreed terms and reconcile or resolve value discrepancies with the Purchasing department if any.
  • Align with other concerned departments to ensure the compliance of delivered items to requested specifications.
  • Perform routine checking duties to make sure the accuracy of the recorded data.
  • Compare information or figures on one record against the same data on other records (inventory manual records).
  • Follow up on the approval in SAP B1 of all purchase requests from AIF departments with full accuracy.
  • Implement quality and safety health and environment in line with company policy.
  • Any other duties assigned by your supervisor.

Knowledge and educational level

Educational level:

  • A Bachelor’s Degree in Business Administration, Management, Finance, Information Systems or any other related area.

Required level of experience

  • 3-4 years’ experience in finance, warehouse management
  • 2- 3 years proven experience using SAP B1 system
  • Proven experience in Warehouse management
  • Excel reporting skills
