Background

AcrossAid operates its Strategy through four main areas of interventions that include but not limited to Quality Education (QE), Child Right and Protection (CRP), Action for Youth Development (AYODE) as well as Integrated Community Health and Livelihoods (ICH&L). Through these programs, AcrossAid has been striving the strengthen the culture of reading and writing among school children while insuring equitable access to quality education at all levels by preventing school dropouts as well as increasing school enrollment. The organization has increased advocacy and will continue to advocate for child rights and protection through parenting programs and community engagement, preventing early teenage pregnancies, addressing street children phenomenon and ensuring youth socio-economic development for better future.

Expected Intern Outcomes

AcrossAid is therefore seeking to provide a six-month Professional Internship Opportunity to a highly-committed, skilled and competent Intern who shares same passion for AcrossAid mission. The selected intern for the position of Administration and Finance is expected to support the management team through performing financial functions, human resources as well as administrative tasks for day-to-day organizational management. In this vein, the intern is entitled to assist perform the following:

  1. Financial Management
  • Take care of bookkeeping and administration of invoices and accounting documents in adherence to accounting standards, practices and manages bank accounts, payments and treasury;
  • Maintain and manage office administrative expenditure by maintaining office files, tracking budget procurement and providing routine budget updates;
  • Contribute to the preparation, management and monitoring of project budgets and expenditures, monitor cash flow and predict new trends;
  • Contribute to the preparation of project financial statements and reports for donors and processing and retention of documents and support in accordance with donor’s rules and regulations;
  • Manage all accounts, prepare monthly bank reconciliation statements for all accounts;
  • Ensure timely declaration and payment of taxes and report any tax claimed but not received and ensure other recoverable under donor guidelines are correctly processed, monitored, and recorded properly;
  • Ensure compliance with regulations (internal and donor-related) for procurement of goods and services and record-keeping.
  1. Administration & Human resources 
  • Prepare and handle monthly payroll remittances and manage time-sheets and employees’ files and contracts within the Organization
  • Provide assistance to AcrossAid Executive Director’s office through handling different administrative tasks such as drafting official letters, e-mails, memos, etc.
  • Support the management in the development of reports and other office documents
  • Maintain office database systems with strict confidentiality of all Organization and office materials.
  • Manage and update the organization’s website and other social media platforms
  • Perform any other office and administrative tasks whenever necessary.

Basic Requirements

Since this is a professional internship, the candidate’s profile should meet the following requirements to qualify for the position:

  • Hold at least Advanced Diploma (A1) in Finance, Accounting, Management, Administration, or any other related fields with at least 2 years of working experience;
  • Hold Diploma (A2) in above-mentioned areas with at least proven 3 years of working experience;
  • Be familiar with organizational practices, management of financial records as well as general administrative functions;
  • Possess competencies in computer literacy (MS Word, Excel, PowerPoint, etc.)
  • Demonstrate competencies skills in General Accepted Accounting Principles (GAAP) and Accounting Software such as QuickBooks, Sage, Declaration Software, etc. will be an added value;
  • Demonstrate proficient in English and Kinyarwanda languages. Knowledge in French language is preferred.
  • Demonstrate strong interpersonal, organizational skills and communication competencies.
  • Goal-oriented, focused, dynamic, passionate, and self-motivated.
  • High levels of integrity, team work, ethical considerations and professionalism
