LOCAL CONTRACT RECRUITMENT – CERTIFICATION ASSISTANT

The French Institute of Rwanda (Francophone Cultural Center of Rwanda) is looking for an assistant to work closely with the French Institute team.

Main objective of the position: 

The Certification Assistant is responsible for the smooth running of exams, under the supervision of the Exam Manager and in collaboration with the Receptionist. The Certification Assistant will manage registration, set-up, and exam execution. They also manage the AEC and GAEL online platforms, TEO, and the TEF management portal.

Job Description:

  • Service: Language and Exam Center
  • Job description: Level 4 – Certifications Assistant
  • Working hours: 40 hours/week + overtime
  • Remuneration: 834,846 RwF gross per month + 30,000 RwF transport bonus
  • Number of days of leave: 21 days/year + overtime hours recovered
  • Benefits: RAMA and RSSB health insurance (social contributions), other benefits communicated during the interview
  • Type of contract: One-year fixed-term contract, renewable once, with the possibility of a permanent contract thereafter

Skills sought:

  • Bachelor’s degree in accounting, management, commerce, administration or any other relevant field.
  • Languages: French level  C1 minimum  (full oral and written skills – compulsory), English level B2 minimum, Kinyarwanda (desired)
  • Excellent oral and written expression
  • Good command of the office suite
  • Comfortable with new technologies
  • Previous experience in a similar position is an asset
  • Category B driving license (mandatory)

Activities and tasks related to the position: 

Checking and validating registrations: 

  • Provide accurate communication to schools on the DELF PRIM and JUNIOR procedures relating to the approval of new schools, registrations and payments.
  • Validate registrations on the following platforms: GAEL, TEO and the TEF management portal according to the registration end dates for the exam sessions.
  • Collect payment slips from schools, validate them on the Arc en Ciel platform and send them to the general secretariat.
  • Maintain registrant data on the Arc en Ciel and FLED/FLAD software, in collaboration with the receptionist.
  • Ensure regular monitoring of revenue in conjunction with the examination managers and the general secretary.

Participate in the management and organization of exams

  • Participate in establishing the examination schedule 
    • Participate in the logistical and administrative management of the organization of exams (DELF/DALF, DELF JUNIOR and PRIM, TCF, and TEF): monitoring of application fees, expenses, payment verifications. Ensure their smooth running.
  • Management of platforms and software: ensure, in conjunction with the reception officer, and under the supervision of the examination manager, the integration of data on (AEC and GAEL, FLED/FLAD, TEO and TEO+ and the TEF management portal) and the consistency of information between these different tools.
  • Prepare examination reports and submit them to the examination manager

Participate in the educational monitoring of the examination team

  • Participate in the supervision of the teaching team: organization and management of the examiners’ teaching meetings, and planning of their work in conjunction with the examination manager and the teaching mission manager
  • Participate in the organization of training courses to qualify for exams (DELF/DALF, TEF and TCF) in conjunction with the educational officer

Participate in the implementation of the quality approach and the marketing policy of the language and exam center

    • Contribute to strengthening partnerships with international private schools and ensure the development of DELF PRIM/JUNIOR exams in these establishments.
    • Propose and implement management tools to consolidate the organization of exams.
    • As part of his/her duties, the certification assistant, under the supervision of the examination manager, may be required to be the contact for FEI and French for Business (CCI Paris), for IFR examiners whose continuing training he/she will provide. 
  • Finally, he/she will participate in the organization of events related to the Francophonie and Campus France.
